Emergency Management Administrative office support position (housed in Philadelphia, PA) to perform a variety of administrative and clerical tasks for Pennsylvania Task Force 1 (PA-TF1) Urban Search & Rescue team at the team’s special operations center in Philadelphia, PA. Duties of this position include providing support to the team’s program management staff, team members and assist in daily office needs. Works under the direction of the PA-TF1 Program Manager.

· Provides clerical support

· Operates a computer to gather data, conduct research, perform data entry, and generate reports.

· Maintaining administrative training files and the team member database.

· Making travel arrangements and meeting arrangements.

· Communications via phone, email or in person.

Minimum Qualifications

H.S. Diploma or equivalent and 2 years experience. Or a combination of experience and education sufficient to successfully perform the essential duties of the job.

Job Specific Task List

· Answer and direct phone calls

· Organize and schedule appointments

· Plan meetings and take detailed notes

· Write and distribute email, correspondence memos, letters, faxes and forms

· Coordination of quarterly newsletter

· Assist in the preparation of regularly scheduled reports

· Assist in developing training initiatives & supporting the Task Force Training Manager as needed

· Develop and maintain filing system(s)

· Update and maintain office policies and procedures

· Maintain contact lists
· Assist with coordination of travel arrangements

· Provide general support to visitors

· Act as the point of contact for internal and external personnel

· Liaise with senior team leaders

· Coordination of special projects as assigned

Qualifications: Preferred Experience

Knowledge of federal and/or state grant procedures is preferred. Past emergency management/response experience is desirable.

Physical Requirements

Positions in this class typically require: grasping, feeling, talking, hearing, seeing and repetitive motions.

Sedentary Work: Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body.
